Payroll Pricing

How much does payroll cost?

Not much. See our pricing here.

Is there a setup fee?

Nope. We believe in welcoming our clients instead of taxing them for their goodwill of signing with us. And we believe our outstanding service will keep them as clients for a long time for our mutual benefit.

Is there a fee for direct deposit?

Nope!! Our fee does not vary whether receiving live checks or direct deposit.

Is there a fee for quarterly tax filing?

Nope. We provide this at no charge to you. Nevertheless, if we are filing zero returns (no payroll in the quarter), we charge $30.00.

How do I pay for my services?

The fee is computed at the time of payroll processing, and an invoice created. We debit your account at the same time we debit for payroll taxes and direct deposit (if applicable).

When does my bank get debited?

Depending on your payroll schedule, we debit your account one business day before payday or on the actual payday.

How many days before payday do I need to process payroll?

2 days. We encourage you to process payroll at your earliest possible. 2 days is our standard, but we will still process direct deposits for payroll processed the business day before payday (Must be processed before 1 pm).

Do you have same day direct deposit?

On a regular basis, NO. If pre-planned, YES – ask us for details.

If I skip payroll, is there a fee?

No. We just roll your payroll to the next open period in your payroll schedule.

How much is shipping fee?

Overnight shipping within the western states is $10 to $15. Most of California is $13. Mid-West and Eastern US is between $15 and $25. We have plenty of ways to alleviate shipping costs. Ask us how when we speak on the phone.

How much help can I get?

All AccuPay clients, regardless of size, receive free unlimited help or training. We are an extension of your business in terms of payroll processing.

Do you have a free trial?

Nope. Our fees are generally very low, and since we have to set up your payroll account, we do not have a free trial but we give you 100 days money back guarantee. Free trials are offered to “get you in” and once you are in, getting out becomes very hard.

How do you compare with ADP or Paychex?

These and a few others are just so large that they don’t get to know you and your business intimately. We have the same capabilities but our prices are much lower and we have superior customer service. See what our clients say.

Do you offer domestic (household/nanny) payroll?

Yes. We also provide all other services such as tax payments and tax filing, direct deposit (or live checks), etc just like regular employers.

How do I cancel my payroll account?

Canceling your account is easy. You either call or email us and we will cancel your account. No obligation. We will need to know if you are closing shop (so we can pay and file all taxes, including year-end and W2s) or moving to another service so we can terminate your service including tax services and filing).

What happens to my data if I cancel my account?

Nothing. We make your account inactive, terminate online access and keep your data safe. If you ever come back, we activate your account, update your payroll history (if necessary) and employees and carry on serving you.

    What is the lead time to process payroll?

    Two (2) days. We encourage you to process payroll at your earliest possible. 2 days is our standard, but we will still process direct deposits for payroll processed the business day before payday (Must be processed before 1.00 pm).

    Do you provide training?

    Yes. For those of our clients who process their own payroll on our system, we provide as much training as they need. If we do the processing for you, no need to train you unless for reports retrieval.

    Who processes payroll?

    We can process your payroll, or you can do it yourself. It all depends on either your business size or your wish.

    Do you track vacation time off and sick time off?

    Of course. We have sophisticated methods, so bring it to us and we can formulate it for you.

    How do I pay my contractors?

    All your workers (employees and contractors) can be set up and paid in the same schedule. No need for separate setup or schedules. The setup happens in the back end, and our system is smart enough to exclude your contractors’ wages from Form 941 and Form 940 and from W2s. It produces 1099s for them at the end of the year.

    I only have contractors; can I still pay them through AccuPay?

    Yes. Your payroll can be only for contractors if you do not have regular employees. Be sure you are not mis-classifying your employees as contractors. This mistake can get you in a lot of trouble with the government.

    Payroll Signup & Setup

    Can I signup online?

    Yes and no. You can fill out the forms online, but we still have to vet you to establish your business legitimacy. There is a lot of fraud in the payroll industry and we have a duty to protect ourselves and our clients. Here is the link to the payroll setup page.

    Is there a setup fee?

    How long does it take to set up?

    It depends on how big your company is, and how much historical data we have to add to our system. More specifically, the actual setup process for a small business (1-20 employees) can be completed in less than 3 hours.

    Larger employers can take longer especially if there is a lot of historical data. In most cases, we are able to get our clients ready to process payroll within a day of receiving their setup information.

    The more organized your information is, the less time it takes to setup.

    Is there a commitment/contract?

    Nope. Our payroll agreement is not a contract but a document that states our collective responsibilities, expectations and best practices. We offer 100-day money back guarantee. Our only weapon of keeping you on the hook is our outstanding service.

    Payroll Software, Security & Updates

    Do I have to download the payroll software?

    No. Our payroll system is web-based.  

    Do you offer free software updates?

    Of course. Our software is constantly being improved and updated and you will never be involved in the process. Updates are released at nights and on weekends to ensure minimal disruption.

    How secure is your system?

    Our system is as secure as that of ADP and Paychex. We are exposed to the same risks and we take proactive measures to secure our systems 24/7. We also use 256 bit SSL certificates, IP blocking technology and redundant firewall to protect your data.

    Do you back up our data?

    The entire system is backed up every few minutes to minimize data loss. In case of Internet loss at the data center level, we can easily revert to a different data center seamlessly without you even noticing.

    Do we get access to our payroll account?

    Sure. Depending on the arrangement we have with you, which depends on how simple or sophisticated your payroll is, we can give you access to our system to process your own payroll and create or retrieve your payroll reports.

    Is there a fee to access the software?

    No. That would be silly.

    Payroll Tax Filing Services & Year-End

    Do you file quarterly return filing on my behalf?

    Yes. We electronically file all your quarterly state and Federal tax returns on your behalf. Nothing is required of you for this to happen.

    Do you file annual returns on my behalf?

    Yes, we electronically file all the relevant annual returns on your behalf, both state and Federal.

    Do you file W2s and 1099s on my behalf?

    Yes. We electronically file all W-2s with the Social Security Administration.

    Do you mail W2s and 1099s at the end of the year?

    We print, stuff and ship your employer and employee W2 copies and contractor 1099 copies to your office for distribution.

    How much is the quarterly filing fee?

    $0.00. We do not charge extra for quarterly or annual tax return filing

    What are the year-end filing fees?

    We charge a small fee for W2 filing with the Soaial Security Admin and shipping your employee and employer copies to your office.

    My company has operations in multiple states. Do you charge extra for tax compliance?
